Supporting the Head of People Operations, you will be responsible for transforming the support service and data administration functions, whilst fulfilling all tasks. This is an opportunity to enhance operations and drive efficiencies. You will also be leading our data and analytics efforts to enable smarter decision making. This role would be ideal for someone who is passionate about improving operational procedures, leveraging data and analysis and who loves working in an extremely busy environment.

ABOUT THE ROLE

Support Service

  • Responding to any queries from our people and people managers in a timely and professional manner, whilst shifting to more self-service.
  • Be confident and knowledgeable about our processes and policies, suggesting improvements as you go.

People data and systems

  • Be the gatekeeper of all our People Data across all applications in Oracle, driving engagement and adaptation.
  • Responsibility for correct security access, as well as application of appropriate invoice sign off levels.
  • Ensure accuracy of People Data in our Engagement platform Peakon, Benefits systems (HAPI and Spring Health) and absence systems.
  • Support with regular and ad hoc reporting requests, like quarterly dashboards and monthly Census reports, ensuring GDPR regulations are adhered to.
  • Maintain our departmental organisation charts on a monthly basis ahead of publishing on the Intranet, ensuring reporting lines and job titles are accurately reflected.
  • Manage and update relevant sections on our intranet (Policy centre, Pay and Benefits related information).

Pay and Benefits administration

  • Preparing monthly payroll back up for Payroll & Benefits Manager.
  • Assisting with timesheets administration and supporting timely submission as well as supporting queries from freelancers and Line managers ensuring correct approval workflows are set up in HCM.
  • Ensuring Benefits portals are updated with people data changes.
  • Leading on Benefits communication and driving engagement.
  • Assisting with quarterly Pension and Financial education sessions.

On-boarding and offboarding

  • Owning the onboarding process, liaising effectively with the Talent team, IS and our Hiring Managers to make sure our new starters have everything they need to start their working life with Hearst and ensure a well-managed delivery of the onboarding process.
  • Coordinating induction set up and invitations, ensuring that we receive all the necessary data and documentation from our new starters, track attendance and collect feedback.
  • Managing the freelance and contingent worker onboarding process.
  • Responsible for all Right to work and reference checks.
  • Ensure timely and correct offboarding processes to minimise risk to the business.

People administration

  • Manages all people-related admin and workflows (from starters to leavers and everything in between e.g. parental leave and flexible working administration, contract extensions).
  • Setting up and maintaining our people records ensuring all the required information is available for both payroll processing and our generalist teams, ensuring all necessary approvals are recorded for SOX audits.
  • Tracking probation dates and notifying the appropriate line managers in advance of the end of probation. Producing confirmation letters accordingly and flagging to the Generalist Team if any concerns are raised.
  • Manage acting up and secondments.
  • Manage monthly FTC renewals.
  • Manage the New Parent Programme.
  • Generating bulk letters in DocuSign when required e.g. annual pay review.

Learning & Development

  • Supporting the Talent and Development Partner with all administration and management of L&D programmes.

Performance tool

  • Responsible for effective Performance review administration of the Oracle application, logging any concerns with the team and system administrators.

Other

  • Ad hoc support for rest of team on projects, events, and people initiatives.
  • Exit interview scheduling, tracking, and reporting.
  • Assist with preparing communication for events.
  • To be an ambassador of Hearst UK and its values.
  • You may be required to undertake such further duties as your skills, qualifications and experience allow and/or as may be assigned to you from time to time.
