Overview of team purpose
The primary goal of the team is to position London as the leading destination for meetings and events, targeting key markets internationally. The proactive focus includes the USA, France, Germany, China, and India. Additionally, we engage with enquiries from all countries, as these can present valuable opportunities for commercial partners. The objective is to convert business to ensure we are delivering our annual Gross Value Added (GVA) target, which in turn supports job growth in London. We strive to maintain client satisfaction as measured by the Net Promoter Score (NPS).
Purpose of the role
To support the flow and conversion of enquiries from third-party agents and Corporate clients. To handle mainly enquiries which are only looking at London as opposed to multiple cities. To keep in touch with clients and partners about enquiries and to keep the Partner index updated. To carry out any ad hoc projects such as a 'Sustainability review of partners'.
Key Tasks
CLIENTS
- In conjunction with the Managers, respond by telephone, email, or website to Corporate or Agency enquiries (RFPs), ensuring a comprehensive understanding of the brief before determining the appropriate course of action.
- Facilitate venue finding or provide suggestions that align with client requests, maintaining communication with partners to ensure enquiries progress towards conversion.
- Conduct periodic follow-ups with clients and opportunities to nurture relationships to foster repeat business focusing on GVA conversion and high NPS scores.
- Respond to CVENT enquiries as distributed by the Managers and conduct regular follow-ups to secure confirmations.
- Support the team in delivering the yearly GVA target.
- Support the team in preparation for Trade shows and help manage incoming enquiries from the same shows, including follow-up and post-communication.
- Updating the Partner Index as required including research and data collation.
- Support on gathering monthly content for the Event Planner newsletter.
PARTNERS
- Attend site visits to engage with Sales and Events contacts facilitating quicker enquiry responses; to understand the product; and building relationships; to feature them in our Event Planner newsletters. This may include some evening events.
- Enhance knowledge of London's event product to improve responses to client RFPs.
CRM (Salesforce)
- In conjunction with the Managers, create and maintain all client enquiries as opportunities ensuring ongoing engagement and communication.
- Keep the CRM updated with accurate contact information.
Collaboration
- Assist the team on ad hoc projects such as the Partner Sustainability project or any other projects which present themselves in the course of our work.
