Job Description

We are looking for a driven, organised and capable Clinical Operations Manager to join our Hair Transplant team! We currently have 3 Hair Transplant Clinics in London, Leeds and Manchester. The role is based in London with travel to the Manchester and Leeds clinics at least 1x per month.

RESPONSIBILITIES:

  1. Oversee the day-to-day clinical operations, ensuring that all clinical and non-clinical staff meet and exceed regulatory standards.
  2. Lead, manage, and develop clinical staff, ensuring their performance and growth align with business targets.
  3. Collaborate with clients, stakeholders, and senior leadership, maintaining excellent relationships and responding to queries in a timely manner.
  4. Drive service development and innovation, continuously improving the quality and scope of services provided.
  5. Ensure compliance with governance and regulatory frameworks, conducting risk assessments and monitoring staff competencies.
  6. Manage operational processes including rota management (technicians and surgeons), staff cover, performance reviews, and service audits.
  7. Analyse clinical/non-clinical data, creating reports and dashboards for senior leadership and board review.
  8. Support business planning and service development to contribute to the company's long-term success.
  9. Stay up to date with industry trends, and attend conferences as needed.
  10. Centralise and manage supply chain/ordering for all HT clinics, as well as other requirements such as cleaning contracts.
  11. Ensure clinical conformity of procedure/practice across all HT clinics.
  12. Assure clinical staff are adhering to SOPs.
  13. Ensure all clinical staff comply and complete their mandatory training and other such requirements.
  14. Manage operational budgets.
  15. Manage SLAs.
  16. Organise and oversee clinical staff meetings and staff communications.

MINIMUM REQUIREMENTS:

  1. Experience in a clinic leadership/management role, managing day-to-day operations in a clinic setting.
  2. Work experience in cosmetic surgery/hair transplant surgery/private practice setting.
  3. Experience with rotas and staffing challenges for a clinical team.
  4. Proficient with the use of EHR and CRM systems.
  5. Experience handling supply chain/distribution/purchasing.
