Job Description

We are looking for a talented Executive Assistant with a strategic focus.

This position is a key supporting role with a high level of responsibility and impact. This position will primarily work with the CEO, Richard, but also the other 2 Co-founders Max and Lukas in reporting, communicating with investors, clients, planning, scheduling, and organizing tasks to keep time and attention focused on company goals, projects, and priorities.

To make our vision a reality, we look for the everyday curious, the strategic mind focused, attention to details kind of people. You won't be stuck doing only the regular 'secretary', admin work.

To be successful in this position, you must be diligent, results-oriented, have strong attention to details, think quick and fast, and have the demonstrated ability to effectively prioritise workflow. This role requires someone who loves to learn and effectively multitasks without losing attention to details.

Tasks
  • Act as a liaison between the CEO and all departments as well as outside partners and clients on all matters pertaining to the executive operations of the organization.
  • Support the Founders in preparatory accounting.
  • Support the CEO to lead the Customer Support Department.
  • Reliably prepare, edit and maintain correspondence, communications, presentations, and other documents.
  • Greet clients and visitors to our office.
  • Plan, organize and coordinate functions and special events for the CEO and other team members.
  • Provide information for reports and records through research, data retrieval, compiling and/or tabulating statistics, and organizing and presenting the information in usable and understandable formats such as Excel and PowerPoint.
  • Full ownership of many confidential/exciting projects.
Requirements
  • A positive attitude, sense of humour, and professional demeanour.
  • Good experience in a comparable position.
  • Fluency in C2/Native German and B2 English.
  • A willingness to be challenged and think strategically.
  • A passion for organization and learning about new structures.
  • Openness to learning new skills and concepts.
  • A preference for diversity, creativity, and an agile work environment (bonus points for experience in a rapid startup environment).
  • Familiarity with standard tools: Office Suite, Slack, etc.
  • High standards of ethics and confidentiality to handle sensitive information.
  • Ability to exercise good judgement, show initiative, and be proactive.
  • Ability to work independently, use initiative, and make decisions quickly in a confidential, organized, and detailed manner.
