Job Description
- Provide Accounts/Finance team with a monthly valuation schedule to aid their cashflow forecasts and projections of monies due.
- Prepare and submit monthly valuations/applications with support of PMs to main contractors on behalf of the company in line with main Contractors required format and contracts and agreed payment schedules. Providing supporting information/substantiation where required.
- Work closely with Accounts team to process monthly Subcontractors applications and drafting subcontractor payment notices and schedule meetings with project managers to ensure Payment notices are approved and submitted within agreed accounts timescales, to aid month end reconciliation.
- Assist finance team and PMs in preparing cost/profit analysis reports prior to monthly costings meetings, providing information on forecasted Subcontractors costs/liabilities and the contracts forecasted variation account. Attend and contribute towards costings meetings with Finance/Commercial and Project Management team.
- Carry out ongoing project file administration, keeping files up to date with correspondence/variations/instructions, ensuring all information is available to present to Main Contractors as and when required and to submit at Final Account Stage to aid negotiations
- Provide feedback to Finance/Commercial and Project Management teams upon receipt of Payment Notices from Main Contractors regarding deductions made, information/substantiation required. In turn assist the preparation on information to defend those certifications from the main Contractor.
- Establish and maintain a system to compile and register up to date insurances and Health and Safety Information of Subcontractors/Design Consultants. Ensure that Insurances are renewed when required and meet minimum requirements.
- You will assist the Project Managers with the procurement of materials ensuring that payment terms are in line with the company's expectations.
- You will attend and take minutes of Subcontract Post-Tender and Pre-Order meetings
- You will be responsible for identifying both risks and opportunities on projects and ensuring that these are communicated to legal and commercial
- You will assist in the negotiation of contracts on behalf of the company with the assistance of legal and commercial
- You will be expected to work closely with commercial, legal and finance assisting with defending claims from subcontractors and preparing claims on behalf of the company.
