About the position

3DISC specializes in state-of-the-art 3D imaging solutions primarily for dental clinics. Its flagship intraoral scanner is based on innovative concepts that provide high scanning speed, accuracy, and compactness. Job Overview:

We are seeking a highly organized and proactive individual to oversee office operations and logistics processes in our organization. The ideal candidate will manage administrative tasks, ensure efficient workflow in the office, and coordinate logistics activities to support business operations in the french office in coordination with the US office. This role requires exceptional multitasking skills, leadership abilities, and attention to detail.

Requirements :

Office Management :

  • Supervise daily office operations to ensure a smooth and productive environment.
  • Manage office supplies, equipment, and maintenance needs.
  • Handle administrative tasks
  • Handle correspondence, scheduling, and communication between departments.

Logistics Management :

  • Plan and execute shipments
  • Liaise with suppliers, vendors, and shipping companies to ensure timely delivery of goods.
  • Optimize processes to improve cost-efficiency and delivery timelines.
  • Maintain accurate records of inventory, shipments, and logistics data.
  • Resolve logistical challenges and ensure compliance with local and international regulations.

Accounting , Sales Follow-Up and Payroll Management :

  • Oversee basic accounting tasks, including invoicing, expense tracking.
  • Ensure timely and accurate recording of financial transactions related to logistics and office operations.
  • Monitor sales orders and ensure smooth follow-up with clients to maintain satisfaction.
  • Track payment statuses and coordinate with the accounting department for collections.
  • Collaborate with the sales team to align operations with client requirements and deadlines.
  • Manage payroll processing, including collecting employee hours, calculating wages, and ensuring timely payments.

Customer and Stakeholder Engagement :

  • Serve as the point of contact for internal teams, external partners, and clients regarding logistics and office-related matters.
  • Ensure high-quality service and satisfaction levels.

Desired skills :

A minimum of 5 years experience in Office Management

Ability to manage teams and lead complex projects efficiently.

Strong planning, multitasking, and time management skills.

Fluent verbal and written communication skills in both French and English.

Proficiency in office software, payroll systems, and logistics tools.

Good skills in Logistics Management
