Payroll Coordinator

Own the Management and submission of the Retail Payroll (500 employees) and Irish Payroll (60 employees).
Support the Payroll Manager with the end to end payroll and benefits processes across the Shiseido UK&I Group. This covers both the UK and the Republic of Ireland.

MAIN RESPONSIBILITIES- Processing payments for staff wages and benefits, ensuring that joiners, leavers and variations are correctly set up on the system and that all changes to terms are appropriately authorised.
- Run the end to end process for Retail Payroll (300 employees) including preparation through to submission to 3rd party Payroll provider and initial reviews.
- Run the end to end process for Irish Payroll (60 employees) including preparation through to submission to 3rd party Payroll provider and initial reviews.
- Liaise with management, gathering timesheets.
- Ensure overtime and commissions are correctly calculated and approved in the system.
- Processing Sickness; manual checks for company sick pay and statutory sick pay.
- Chasing managers for Sick notes and RTW.
- The first point of contact for payroll and pension queries.
- Processing pension and uploading on the portal.
- Processing Retail recharges.
- Manage the payroll inbox.
- Maintaining corporate procedures and statutory obligations and assisting the Payroll Manager in reviewing and auditing payroll submissions.
- Partner closely with ADP payroll provider and support the Payroll Manager with HMRC on local regulations around payroll, taxes, and national insurance.
- Perform control checks for audit / Headcount report and timely completion of information for ongoing Internal and External audits.
- Improve processes and drive requirements for additional improvements to eliminate manual processes which might also involve partnering with other regions across the business.
- Processing expenses on Concur.
- Supporting Payroll Manager to process and review Benefits for Retail and Corporate staff members.
- Collaborate closely with the Payroll Manager.
- Work closely with the wider Finance and HR team.
- Previous experience in a Payroll function in a large corporate environment.
- Some knowledge of HMRC procedures and requirements.
- Proficient in Excel Vlookup.
- Excellent communication skills, both written and oral.
- Personable approach but resilient when required.
- Keen attention to detail and maintain high accuracy throughout.
- Flexible and adaptable to changing business demands.
- Knowledge working on ADP Payroll package.
- Ability to prioritise workload for self and for the team.
- Good time management and organisational skills.
- Manage big volume of data for over 500 employees.
- Act with integrity when dealing with confidential information.
