We are seeking an organised and motivated Project Support Officer to play a key role in the Corporate Governance Team.

The post-holder will be instrumental in ensuring that the Board of Directors and the wider Trust meets its statutory, legal and mandatory requirements in relation to Governance from both business as usual and work to integrate the Trust with Warrington & Halton Hospitals to provide Better Care Together.

Main Duties of the Job

The post-holder will lead on the administration of:

  1. The Audit and People Committees including drafting agendas, supporting the annual review of business cycles and terms of reference.
  2. Declarations of Interest, including reporting to ensure all relevant staff, including Board members are compliant with this requirement.
  3. Audit queries from KPMG and MIAA.
  4. Effectiveness surveys and reporting including those for Committees, external audit, internal audit and the Trust's counter-fraud service.
  5. The collation, production and project management of the Trust's Annual Report, in conjunction with Trust-wide colleagues including Finance for the Annual Accounts.
  6. Collation and administration of the Annual Fit and Proper Persons Test, Board profile review, ongoing collation of CQC evidence, and Corporate Calendar.
  7. Providing support during annual leave for the Board and Committee Administrator.

Job Responsibilities

The role is responsible for providing a high level of corporate governance support to the Board of Directors to ensure compliance with all statutory, mandatory and legislative corporate governance requirements.

The post-holder is expected to work autonomously, prioritising work using judgement and initiative, recognising the high-profile nature of the work of the Board of Directors.

The post-holder will maintain robust processes to meet timely delivery of competing deadlines and maintain an effective electronic filing system, using Microsoft software, including Teams, to ensure information is kept securely and is accessible to other members of the team in line with governance requirements.

The post-holder will work closely with Board members to administer Committees of the Board which includes, but is not limited to:

  1. Production of the Corporate Calendar.
  2. Drafting agendas from the business cycle and action logs.
  3. Active management of action log items from action owners.
  4. Calling for reports from subject matter experts within defined timeframes.
  5. Drafting reports which fall within the remit of the Corporate Governance function, if appropriate.
  6. Collation of reports and production of meeting packs.
  7. Administration of the meeting including minuting and creating action logs.
  8. Collating attendance registers for inclusion within the Annual Report to ensure any decisions made are from a quoracy.
  9. Providing cover in the Board and Committee Administrator's absence to ensure a seamless Board and Committee process is provided.

Qualifications
  • Educated to degree level or equivalent Corporate Governance experience.
  • Prince 2 or other Project Management qualification.
Experience
  • Experience of administering projects.
  • Previous experience of using a Project Management methodology.
  • Experience of arranging and supporting meetings and formal committees including minute taking.
  • Experience of producing high-quality briefings and written documents for senior managers.
Skills & Attributes
  • Comprehensive knowledge of Microsoft Office Applications including Word, Project, PowerPoint, Excel, SharePoint, Teams and Forms.
  • Understanding of government policies in relation to NHS and relevant to organisation (horizon scanning).
  • Ability to work collaboratively and effectively with others at all levels.
  • Ability to work flexibly across organisations in a changing environment.
  • Ability to work unsupervised and use own initiative to achieve results.
  • Ability to prioritise issues, manage a diverse workload and meet tight deadlines.
  • Ability to handle confidential and sensitive information with discretion and tact.
