Job Description

Our client is looking to hire for a temporary Property Assistant to cover in the interim on a luxury high end residential building based in SW London.

This would be a 6 month fixed term contract, with the potential to go permanent full time for the right candidate.

Hours: Monday - Friday, 8am to 4pm or 9am to 5pm

Salary: £32,000 - £35,000 pro rata

Duties:

  • To provide a high level of management and administration support to the Estate Manager.
  • To be a part of the on-site management team in charge of maintaining the policies, company rules and to provide consistent quality work.
  • To assist with raising PO's and works orders for contractors invoicing.
  • Update the building noticeboards as required.
  • Assist the Development Manager in writing and circulating monthly resident's newsletters.
  • To assist in managing on-site Concierge teams annual leave and sickness, updating rotas accordingly and taking charge of arranging appropriate cover when required to ensure there is consistency across the team.
  • To know, understand and demonstrate the principles of the managing agent.
  • Assist where necessary with any other reasonable tasks or duties when assigned by the Estate Manager.
  • To help to create a 'can do, will do, with pleasure' culture within all aspects of the team.
  • Assisting with all aspects of property management as directed by the Estate Manager.
  • Any other office related tasks including photocopying, post, registered mail.
  • To adhere to the Landlord & Tenant Act and work within the approved budgetary constraints as directed by Estate Management.
  • To pro-actively solve problems and recommend changes to make improvements.
  • Produce reports for the team as directed by the Manager.
  • Ordering stationery and cleaning supplies as necessary in liaison with Estate Manager.
  • Prioritise work to ensure that deadlines and targets are met within the appropriate time scales.
  • Update, amend, maintain & manage the main database of information for the estate.
  • Deal with telephone enquiries together with any associated follow-up.
  • Deal with email correspondence and replies as necessary, keeping team updated with current issues.
  • Meeting and greeting clients, residents & contractors as required.
  • Deal with all written correspondence on behalf of the team as required.
  • Maintain filing systems both electronic & paper associated with the property management team.

Requirements:

  • 2 years experience working within an administration background, preferably within luxury residential, property or hotels
  • Strong IT Skills, Microsoft Word and Excel
  • Fantastic communication skills, both written and oral
  • Meticulous attention to detail with a focused work ethic
  • Able to handle confidential and sensitive information, dealing with issues and queries with utmost professionalism
