King's Residence is looking for a Residence Manager to join the team.
About the role:The Residence Manager is responsible for overseeing the day-to-day operations of the residence, ensuring a safe, welcoming, and well-maintained living environment for students and a positive workplace for staff. This includes managing reception duties, handling complaints, coordinating maintenance and contractor services, and ensuring adherence to health and safety regulations.
Operations Management- Oversee all residence operations, including office and reception management, complaint resolution, and coordination with maintenance teams and external contractors.
- Act as the Health & Safety lead for the site, driving improvements and conducting regular risk assessments.
- Monitor occupancy levels and report vacant rooms to the Allocations team.
- Liaise with maintenance, cleaning, and pest control teams to ensure service levels are met.
- Coordinate and manage any site refurbishment programs.
- Attend regular meetings to assess and enhance service performance.
- Ensure compliance with health and safety regulations and other relevant legislation.
- Conduct fire safety inspections and work with maintenance teams to mitigate risks.
- Support the maintenance team in identifying defects and implementing cost-effective solutions.
- Monitor and manage the site budget effectively.
- Oversee contractor performance and address underperformance in collaboration with the Head of Residential Operations.
- Investigate complaints in line with established procedures and take appropriate action.
- Conduct room inspections and ensure necessary maintenance is logged accordingly.
- Work closely with Residence Assistants and Welfare Leads to deliver the Resi-Life programme and provide welfare support to students.
- Organise face-to-face feedback sessions as part of the Student Experience calendar.
- Manage room cleaning turnarounds before student arrivals throughout the year.
- Liaise with suppliers and raise procurement orders in accordance with college procurement policy.
- Carry out any other duties as deemed necessary by the line manager.
- Member of the Residences On-Call rota.
- Embrace change positively and set a professional example for the residence team.
- Lead and coordinate the reception team to ensure departmental objectives are met.
- Provide leadership, motivation, and supervision to all team members.
- Train staff on policies, procedures, and service standards.
- Monitor workload distribution and ensure fair and appropriate delegation of tasks.
- Conduct performance appraisals and provide continuous feedback.
- Schedule regular team and one-to-one meetings to discuss performance and concerns.
- Address performance issues in consultation with the Human Resources Department.
- Manage annual leave requests in accordance with departmental policies.
- Address issues related to attendance, timekeeping, and return-to-work processes.
- Foster a supportive and motivating work environment.
- Develop and implement team incentives to encourage high performance.
- Act as the Fire Warden, ensuring the safe evacuation of the residence in emergencies.
- Support maintenance teams with routine inspections to identify and resolve safety concerns.
- Maintain and update health and safety records and improvement plans.
- Support and implement environmental initiatives across the residence.
- Promote best practices in waste reduction and energy management.
- Contribute to achieving the residence's environmental objectives and targets.
- Train and induct new reception staff and Residence Service Coordinators.
- Oversee the site budget and financial responsibilities.
- Ensure that marketing materials are displayed appropriately within the residence.
- Maintain accurate records of maintenance works, site inventories, and supplier contacts.
- Maintain and update all SharePoint Operational documents and Rotas.
- Conduct ongoing assessments of residence conditions, including furniture, lighting, heating, and ventilation.
- Maintain daily verbal and written communication with residents, staff, and external parties in a professional and courteous manner.
- Handle difficult conversations with residents, contractors, and team members effectively.
- Clearly articulate ideas, opinions, and decisions both verbally and in writing.
- Listen attentively and build strong relationships with students, colleagues, and other stakeholders.
- Work independently to identify and resolve issues, escalating where necessary.
- Respond effectively to student needs, ensuring a positive living experience.
- Take responsibility for leading projects and ensuring efficient resource allocation.
- Collaborate effectively within a multidisciplinary team.
- Contribute positively to team objectives and respect collective decisions.

- Safeguarding: Ensure the Student's Immediate Safety and Well-Being.
- Demonstrate empathy and escalate any concerns for the resident's well-being.
- Handle sensitive information concerning welfare-related incidents with appropriate levels of respect and confidentiality.
- Ensure the safe evacuation of residents in the event of fire alarms.
This is a full time (35 Hours per week), and you will be offered an indefinite contract.
About you:To be successful in this role, we are looking for candidates to have the following skills and experience:
- A-Levels or equivalent education and relevant management experience in student accommodation, hospitality or similar setting.
- Excellent command of English, both written and spoken.
- Strong IT skills, including Outlook, Word, and Excel.
- Experience in property/building management administration.
- Knowledge of health and safety management.
- A proactive approach and ability to provide excellent customer services putting the residents at the forefront of our business, with the ability to deal with a wide variety of people in a professional & assured manner.
- Ability to comprehend complex issues quickly, and welcome and embrace change, with a positive attitude.
- Strong problem-solving skills and the ability to manage multiple tasks effectively.
- Professionalism, reliability, and an enthusiastic approach to work, with the ability to work autonomously.
- Willingness to travel and work flexible hours as required.
- Able to work within an operational structure and meet the reporting requirements of the organisation.
- Experience in customer service management.
- Experience in Property and building management admin.
- Management of 3rd party staff and contractors.
- Knowledge of foreign languages.
