We are looking for a highly organised and proactive Senior Executive Assistant, with a strong project management mindset to partner directly with our CEO, wider C-level and business leaders. This pivotal role will be instrumental in driving the successful execution of impactful business projects, fostering cross-functional collaboration, and contributing to the strategic development of the company.
You Will:
- Become a strategic partner that works to understand and align with the CEO's and executive team's vision and priorities.
- Take ownership of global and significant cross-functional projects, responsible for managing project timelines, tracking deliverables, and following up with action owners.
- With a positive energetic approach, you will drive collaboration across the business, ensuring seamless communication across teams and alignment between various departments.
- Contribute to overall external vendor strategy, assisting with the management and coordination of vendor relationships relating to project involvement.
- Contribute to initiatives that enhance company culture and employee engagement.
- Act as a problem solver, proactively identifying and working to resolve issues, anticipating potential roadblocks, offering and implementing effective solutions.
WHAT YOU'LL DO
- Provide high-level project administration support to the CEO, C-level executives and wider leadership, ensuring projects are delivered on time and within scope.
- Manage and track project deliverables, milestones, and deadlines, using project management tools and methodologies.
- Coordinate and facilitate cross-functional project meetings, preparing agendas, taking minutes, and following up on action items.
- Serve as a central point of contact for executive related inquiries and communications.
- Support the management of vendor relationships, including contract administration and performance monitoring.
- Conduct research and analysis to support project planning and decision-making.
- Manage complex calendars focusing on project meetings, and ensure that the CEO, C-level executives and wider leadership are prepared for all project-related meetings.
- Contribute to initiatives aimed at enhancing company culture and employee engagement.
- Manage and organize project related files and documents.
WHAT YOU HAVE
- Proven experience as a Senior Executive Assistant or Project Coordinator, ideally supporting C-level executives ideally within a software, technology company or start-up.
- Strong project management skills, with the ability to manage multiple projects simultaneously.
- Excellent organisational and time-management skills, with a keen eye and attention to detail.
- Exceptional communication and interpersonal skills, with the ability to build strong relationships across all levels of the organization.
- Proficiency in project management tools and software (e.g., Asana, Trello, Microsoft Project).
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and proactively, with a strong sense of ownership.
- Experience handling confidential information with discretion and professionalism.
- Experience working with vendor relationships and supporting vendor based projects.
- A proven track record of facilitating cross-functional teams.
- A proactive approach to problem solving.
- Experience with complex calendar management.
