Job Description

To support the medical secretaries and nurses in providing an efficient and timely secretarial and administrative service.

Provide secretarial and clerical support to the consultant and medical staff as required.

Main duties of the job
  • Provide secretarial and clerical support to the consultant and medical staff as required.
  • Monitor and inform medical secretary of stationary needs.
  • Take appropriate action with regards to telephone calls from patients, GPs, and other agencies using initiative, some of which require analysis, and guidance from the medical secretaries, where needed.
  • To trace notes to the patient's next appointment (within the Trust and outside Trusts) efficiently or to trace them back to Bush Park in the appropriate manner.
  • To arrange for copies of clinic letters to be forwarded to Surgeries or departments in an orderly and efficient manner.
  • Frequent requirement for concentration where the work pattern is not predictable i.e. when transcribing dictation and rearranging body of text, punctuation and grammar, especially with strongly accented dictation and to understand the context in order to do this.
  • Maintain an efficient filing system for easy retrieval of documents.
  • Required to cover the medical secretaries during annual leave/sickness and adapt to their workplace and individual differential layouts.
  • To undertake typing in a timely manner.

Person Specification Knowledge and experience
  • Proven ability to accurately touch type.
  • Good oral, verbal, and written communication skills.
  • Demonstrable clerical/administrative experience.
  • Demonstrable experience in a trainee medical secretary role or support role.
Qualifications
  • Typing to OCR 1 (or above) standard or equivalent demonstrable experience.
  • GCSE's Grades A - C in English and Mathematics or equivalent demonstrable experience and proven knowledge.
  • Typing to OCR 2 (or above) standard or equivalent demonstrable experience.
  • Working towards a recognised medical secretary qualification.
Aptitude and Abilities
  • Good communication skills, written and verbal, with ability to demonstrate fluency, clarity, and effectiveness at all levels.
  • Effective influencing skills: in general, and with senior health care professionals.
  • Accuracy.
  • Organisational skills.
Attitude and Motivation
  • Ability to work well within a busy environment.
  • Proactive, takes own initiative.
