ROLE OVERVIEW

We are looking for a 12 month Maternity Cover from May / June 2025. The role is to provide support and assistance to the London Industrial & Logistics team in the delivery of client services and wider Partnership tasks performed by several Partners and team members. The role requires a proactive approach where initiative will be taken to support client and partnership tasks.

The role requires a highly organized, strong communicator with excellent listening skills who can grasp the Partners' needs and support accordingly. The successful candidate should be a forward-thinking problem solver, with a calm demeanor and a proactive positive approach, able to work on their own initiative while supporting the differentiating needs of Partners and team members.

DUTIES

  1. Manage diaries, organize meetings, confirm attendance, and book meeting rooms.
  2. Plan and coordinate events, including seminars and client entertainment.
  3. Arrange travel and respond to invitations on behalf of the team.
  4. Format documents using Microsoft Word, PowerPoint, and Excel.
  5. Process expenses and mileage claims.
  6. Perform ad hoc administrative tasks, including conference call setup, updating records, and maintaining filing systems.
  7. Record and update information in departmental software platforms.
  8. Manage invoicing through internal systems.
  9. Liaise with clients to gather onboarding information.
  10. Manage compliance processes, including issuing Terms of Engagement and conflict checks.
  11. Verify invoices and ensure adherence to billing procedures.
  12. Maintain departmental records, including gifts and compliance registers.
  13. Support ISO standards and finance team requirements.
  14. Ensure accurate and timely client and job record updates in internal systems.
  15. Monitor and support time entry compliance and invoicing processes.
  16. Ensure brand consistency across all materials, including logos, templates, and formatting.
  17. Proofread and format documents to align with branding guidelines.
  18. Maintain records of subscriptions and events.
  19. Update team CVs, case studies, and materials for pitches.
  20. Support logistics for pitch meetings and notify updates for website content.
