Women's Rugby World Cup England 2025 (Women's RWC 2025) will be the 10th edition of the women's tournament. World Rugby, in partnership with the Rugby Football Union (RFU) and UK Sport, have formed a Local Operating Company to plan and deliver the event.

Women's RWC 2025 will be the ultimate stage for the best players, teams and coaches from 16 nations across the globe and is set to be the biggest and most widely watched women's rugby event ever. We're looking to appoint a Tournament Services Coordinator within the Women's RWC 2025 LOC, based in Twickenham. During the planning stage, the role will support planning across all Tournament Services Functional Areas (FAs): Catering, Cleaning and Waste (CCW), and Logistics (LOG). During Tournament time, the role will be deployed to venue(s) to lead on-site operations for CCW and LOG.

What you'll be doing:

  1. Work with the CCW Manager and venues to develop and ensure delivery of agreed levels of service and specifications.
  2. Align the planning and operations to achieve venue cleaning, waste and sustainability plans in line with tournament objectives.
  3. Support on the development of tournament services operational plans, policies and procedures.
  4. Liaise with venues and incumbent caterers to refine venue catering plans including Tastings, Menu Finalisation, and Pourage Operations.
  5. Work with RWC 2025 FAs to scope fixtures, furniture and equipment (FF&E) requirements.
  6. Lead on the Load In / Out planning and delivery for tournament venues.
  7. Produce the FF&E space layouts for all FAs.
  8. Develop plans and processes for delivering to venues including development of maps and delivery windows.
  9. Management of shared logistics resources on venue and specific requests for logistical support.
  10. Assist with the project management process and provide timely reporting across the LOG and CCW teams.
  11. Provide leadership and direction to venue Tournament Services volunteers and other FAs.
  12. Provide support as required across the Tournament Services department to ensure key tournament deadlines are met.
  13. Manage on-site delivery of the CCW and LOG plans, measuring this against the developed KPIs.
  14. Assist in the tournament time recruitment of the wider tournament services coordinators.
  15. Development of the venue operating plans for both CCW and LOG.
  16. Post-tournament dissolution works where needed and dependent on contract length.

Experience & knowledge you'll need:

  1. Excellent communication and relationship building skills.
  2. Experience in event planning, a relevant qualification or other relevant experience in the catering/cleaning and waste or logistics sectors.
  3. Experience in a fast-paced environment supporting multiple individuals across a varied portfolio of responsibilities.
  4. Track record in taking accountability for delivery against fixed timeframes and specific project deliverables.
  5. Excellent organisational and administrative skills with a superior attention to detail.

Nice to Haves:

  1. Experience in a role within a major sporting event landscape that involved planning for catering, cleaning & waste or logistics functional areas.
  2. Demonstrable success in supporting senior leaders and providing managerial support and leadership to a team or workforce.
  3. Experience of managing external suppliers to deliver successful event operations.
  4. Full UK Driver's License.
