Job Description

Job overview

As a Vendor Lead, you will be a Single Point of Contact (SPOC) for supplier services at a trial level and be the first point for issue escalation during study start-up, acting as a conduit for clear communication and robust daily oversight.

Main responsibilities

  • Maintain close interaction and collaboration with the study team lead and study team members during the study lifetime.

  • Review vendor and category related specific sections of the protocol, ensuring vendor expertise is leveraged when refining specifications towards the Final Protocol.

  • Ensure changes to protocol or study designs are consistently shared with vendors and incorporated into supplier budgets, timelines, and specifications.

  • Contribute to the development of the Study Specification Worksheet (SSW) to facilitate the bid process and selection of Vendors.

  • Quote/Proposal review in collaboration with procurement (and vendor). If required, support contract negotiations.

  • Vendor budget review of final quotes.

  • Co-ordinate vendor kick-off meetings and other vendor specific meetings.

  • Collect HA submission documents from vendors, as requested by countries participating in a study.

  • Support amendment of vendor contracts with the Procurement team.

  • Optimise a frontloaded and timely study start-up process in support of a timely vendor DB-go-live.

  • Pro-actively create and maintain vendor related risk maps with contingency plans for documentation.

For eCOA vendor manager:

  • Responsible for directing the vendor on the specific study requirements for system set up and leading the design, build, testing, and validation of the system (UAT).

  • Collaborate with the Study Lead, External Relationship Lead, Procurement, and the Quality Assurance teams (QA) to assure the set up and delivery of ECOA supplier providers.

Qualifications

  • Bachelor's Degree in health care or other scientific discipline required.

  • Excellent communication skills.

  • Strong written and verbal communication skills including a good command of the English language.

  • Previous experience in vendor management, system design, demand & contracting process.

  • Expertise with one of these vendors is required: eCOA, IRT, Central lab, Patient Recruitment and Retention.
