Academic Program Coordinator

Founded in Vienna in 1950, IES Abroad is a not-for-profit education provider based in Chicago, USA with 140+ study abroad and internship programs around the world for college and university students. The IES Center Vienna is offering a temporary part-time position in the Academic Office with a broad range of tasks and a strong focus on information and data management. This position is ideally suited to a person who enjoys ensuring seamless processes in an academic context and effective communication with students and faculty, and who can support the Academic Office in bringing their data management and digitalization to the next level.
Aufgaben
Academic Administration and Communication
- Supports design of the course schedule and allocates classrooms.
- Updates course listings every semester and assists students during registration period.
- Optimizes digital tools for students and faculty communications (mail mergers, forms, etc.).
- Facilitates staff, faculty, and students' access to key academic information.
- Assists with academic advising and student communications pertaining to course registration.
Academic and Student Information Management
- Maintains the academic and student information databases and develops processes to collect all necessary information.
- Runs reports used in academic decision-making processes.
- Improves digital solutions for academic advising and student communications.
Collaboration with other teams
- Effectively manages sensitive student data and follows established protocols.
- Chaperones student field trips and excursions, if necessary.
- Participates in IES events and orientation week.
Profil
- An undergraduate degree or higher preferred
- Experience in an administrative setting, experience in academic administration an advantage
- Demonstrated technical aptitude, with a proven ability to learn and adapt to new software and digital tools
- Advanced Microsoft Word and Excel Skills, including experience with
- Complex Formulas and functions
- Data Integrations and reporting
- Complex document structuring
- Automation and customization
- Excellent (oral and written) German and English skills
- Problem solving mentality, attention to detail and strong communication skills
- Valid Austrian work permit
- Preferably experience in working with young adults or international university students
