Job Description

We are seeking an Administrative Assistant to provide high-level support to the Senior Directors and the team. This role is based in the London office and offers the opportunity to work within a fast-paced, dynamic entertainment environment.

This is a 3/4 month contract, offering £28.85 per hour, 40 hrs/week (PAYE).

The ideal candidate will be self-motivated, proactive, and highly organized, with the ability to manage multiple responsibilities while maintaining exceptional attention to detail. This role requires strong communication skills, a solutions-oriented mindset, and the ability to collaborate across multiple teams and time zones.

Key Responsibilities:
  1. Manage diaries, schedule meetings, and coordinate cross-functional calls across multiple time zones.
  2. Attend meetings, take notes, and manage agendas.
  3. Assist in preparing presentation slide decks and onboarding materials for new team members.
  4. Handle complex communication across multiple teams, including marketing, PR, brand, consumer products, and content.
  5. Organize and manage internal events such as offsites and training sessions.
  6. Coordinate domestic and international travel arrangements.
  7. Manage administrative tasks, including processing expenses and maintaining distribution lists.
  8. Collaborate with assistants across multiple departments to ensure seamless coordination.
Candidate Profile:
  1. Solid experience as an administrative assistant, supporting at the Director level or above.
  2. Previous experience in tech, film, and/or TV is preferred.
  3. A strong interest in developing a career in administrative/business support.
  4. A flexible, proactive, and team-oriented approach, comfortable working in a fast-paced environment.
  5. A solutions-focused attitude, with the ability to remain calm under pressure.
  6. High level of discretion when handling confidential information.
  7. Strong ability to prioritize tasks and respond effectively to changing demands.
  8. Excellent written and verbal communication skills with strong attention to detail.
  9. Proficiency in G-Suite.
  10. Fluency in a second European language is a plus.
