About the Role

As an Administrative Assistant, you will support the CEO and the management team, ensuring smooth operations, coordinate projects and adding value through effective delivery. You will be able to work in a hybrid pattern with a minimum of two days at the 33 Holborn office per week.

Key Responsibilities

As an Administrative Assistant, you will:

  • Provide administrative support to the CEO and management team, ensuring efficient operation of the office.
  • Assist with various administrative tasks as needed to support the team.
  • Support the CEO and the management team in preparation for meetings and events, including preparing documents, reports, and presentations as well as communication on behalf of the CEO.
  • Coordinate meetings, prepare agendas, take minutes if required as well as follow up on key action points. This also includes ad-hoc meetings as necessary.
  • Create spreadsheets, reports, presentations, correspondence, and memos as requested by the CEO.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Facilitate setting up meetings with key internal and external stakeholders.
  • Depending on the skill set, coordinate projects including scheduling meetings, tracking progress, and ensuring timely follow-ups. Work with the business and technical analysts to move requirements forward.
  • Liaise between teams to ensure clear communication of project goals, scope, and timelines.
  • Support user acceptance testing (UAT) by coordinating testing activities, gathering feedback, and identifying areas for improvement.
About You

You will have the following skills, knowledge and demonstrate the following behaviours:

  • Exceptional level of accuracy and attention to detail as well as consistency in completing tasks.
  • Strong communication skills and confidence to interact with various stakeholders. You are able to share information (emails, reports, presentations etc.) clearly and confidently, both verbally and in writing.
  • Ability to organise, prioritise, complete tasks and coordinate projects on time.
  • Ability to manage your time efficiently and adhere to deadlines. You will ask for priorities if there are multiple deadlines.
  • Ability to bring solutions to problems and implement them, learn quickly to be able to add value to our projects.
  • Ability to keep track of tasks and project stages and schedules.
  • Ability to use software and IT technology the Company uses and to build up your knowledge in our products.
  • Proactivity - ability to anticipate the needs of the CEO (and other key stakeholders) as well as ability to identify potential issues, take initiative, proactively gather information and prepare materials, act without being prompted or offer assistance.
  • Flexibility - our team members work efficiently and support each other.
  • Ability to work collaboratively with others and understand the business and its needs.

  • Self-reliance and ability to work independently to find solutions to problems.
  • Fluency in English.
