Full Time role based in London at the McCann World Group offices

Report to the Craft London Management team

THE ROLE

We're looking for an experienced Culture & Studio Coordinator who thrives in a fast-paced environment. You'll handle a variety of administrative and resource-related tasks, working independently with minimal supervision while managing the London Management Team's demanding workload. In addition to supporting the team, you'll work alongside the Bookings & Studio Manager and the Senior Talent Partner on Resource administration, while also leading on initiatives to support the Agency's culture.

You'll need excellent time management and prioritisation skills, a proactive mindset, and the ability to build strong relationships across all levels of staff and freelancers. Discretion, professionalism, and attention to detail are critical for success in this role.

As Culture & Studio Coordinator you will be responsible for the following 4 key areas

  1. Agency culture support
  2. Managing onboarding for new starters, ensuring they are properly introduced to the office and systems
  3. Planning internal agency social events and presentations, managing budgets, tracking and celebrating important milestones such as work anniversaries, birthdays etc.
  4. Act as the 'go-to' person with facilities matters, overseeing hospitality and snack orders
  5. Creating the presentation deck for weekly and monthly update meetings, and managing the agenda
  6. Support with bookings administration, updating the Freelance Directory with new talent
  7. Facilitating equipment for freelancers, e.g. raising IT tickets, setting up accounts, building passes and organising couriers for equipment if required

Office management support

  1. Diary management for the Management team, including meetings, bookings and events, across global time zones
  2. Expenses management and travel coordination for the Management team
  3. New business administrative support, e.g. collating information or research for proposals, assisting with presentations
  4. Logistical support for in-person meetings, such as room bookings, catering, building access

Freelance administration support

  1. Approve and reconcile Worksome bills and expenses for freelancers
  2. Maintain the Freelancer Request Form
  3. Contract management - creating new Worksome contracts, completing IR35 assessments, extending contracts if required
  4. Dealing with freelancer timesheet queries and support, payroll reminders and chasing if required

Required Skills

  • Natural networking abilities to build effective relationships across the team.
  • A "can-do" attitude and proactive approach to problem-solving.
  • Exceptional organizational skills and the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Professionalism, discretion, and trustworthiness.
  • A positive and adaptable mindset.
  • Experience of handling large volume admin within a creative, production or marketing agency.
  • Proven experience of multi-tasking and the ability to jump onto last minute urgent tasks.
  • Ability to use various systems, smart sheet trackers and payroll platforms.
  • Candidates who have had experience of handling freelancer's timesheets, payroll and who have knowledge of IR35 legislation will be preferred.
