THE ROLE

We're looking for an EA to support our CCO + provide administrative support for the content team. Please note, this role requires a degree of flexibility, including some out-of-hours support. The Executive Assistant may need to be reachable during evenings and up to two weekends per month when the principal is travelling or on shoots. Assistance may be required in the event of urgent matters, last-minute changes, or unforeseen circumstances.

Responsibilities

  • Calendar wizardry: Skilfully oversee the CCO's schedule, ensuring comprehensive awareness of upcoming commitments with the ability to manage overlapping and frequently changing schedules for YouTube shoots, cross-departmental requests, presentations and meetings.

  • Stakeholder Engagement: Act as the primary point of contact for internal and external stakeholders, efficiently managing enquiries and ensuring that matters concerning the CCO receive appropriate attention.

  • Project Coordination & Content Team Support: Coordinate and follow up on various project workstreams and initiatives led by the CCO.

  • Proactive Problem-Solving: Anticipate the CCO's needs, streamline processes, and provide solutions in advance of issues arising. Have a strong understanding of contingency planning and managing unforeseen issues that could disrupt production schedules calmly and effectively

  • Attention to Detail: Demonstrate unwavering precision, upholding the highest standards of accuracy and quality in all responsibilities.

WHAT YOU'LL DO

Administrative Tasks:

  • Administrative Excellence: Execute a wide array of administrative tasks, from crafting and refining presentations to managing pre-production documents, schedules, and communications.

  • Work closely with the Content Manager to support YouTube production processes, ensuring timely completion of tasks, and progress-tracking.

  • Expense Management: oversee and track the CCO's and YouTube production team's expenses and reimbursement requests.

  • Accurately logging and coding content team invoices in the budget tracker.

  • Processing purchase requests for the Content team.

  • Booking travel, accommodation, car hire and managing visas for special overseas projects, and managing these across multiple time zones for global productions and meetings for the CCO and content team.

  • Management of loan agreements for short/long term car loans from car manufacturers.

Coordination of CCO/presenter and crew:

  • Call Sheets: creating and distributing logistics call sheets & itineraries for overseas travel, launches and shoots; ensuring everyone knows their schedule.

  • Check-ins: ensuring talent arrives on time and is well armed with where they need to be

  • Communication: acting as a go-between for departments to relay information quickly and accurately.

  • Transportation and running errands.

  • Coordinating transportation for talent and crew and handling any errands required for the CCO

Meeting Support

  • Meeting Coordination: Prepare and organise meeting materials, presentations and reports to ensure the executive is well-prepared for all engagements.

  • Actions and follow-Up: Attend meetings, diligently capture key points in minutes, and ensure the timely completion of action items including debriefing the relevant team heads and leads on any actionable items, and managing status updates with the CCO.


WHAT YOU'LL NEED

  • We are seeking an individual who is inherently self-motivated and possesses a strong solutions-orientated mindset. Your track record should reflect experience in effectively engaging with C-level executives. In addition, you should excel in managing workloads and adeptly prioritising tasks, even within the demanding constraints of a fast-paced, deadline-driven environment.

  • Emotional resilience and able to implement structure between the CCO and this role.

  • Thrives on multitasking: you can deftly spin multiple plates to give the CCO space to focus on big-picture stuff and keep the business humming.

  • Unapologetically curious: you will always want to build a deeper understanding of what makes our business tick.

  • Several years' experience as an Executive Assistant in a high growth scale-up tech space, reporting directly to C-level. A content environment would be advantageous.

  • Tech Savvy: Proficiency in office software tools (e.g. Google Suite) and familiarity with productivity and scheduling software.

  • Outstanding organisational and time management skills including quick response times

  • Exceptional written and verbal communication skills, including the ability to draft professional correspondence and emails on behalf of the CCO.

  • Proactive, adaptable, and detail-orientated.

  • You'll have the ability to drive at times along with the confidence to move cars between locations so a full clean driving is required.
