About the roleThe Examinations Administrative Assistant supports the operations of all FRCR examinations by providing a flexible, responsive service to our exam candidates across the world. The post holder is also responsible for fielding, or directing as appropriate, queries from candidates regarding all examinations via telephone and email. A good understanding of a wide range of exams and support activities is required.
ResponsibilitiesProvide Pre-examination Administrative Support:
- Process candidate applications, including examination fee payments.
- Prepare and pack all examination paperwork and stationery for use at venues.
- Maintain accurate records of candidate data in various forms.
- Respond to candidate queries regarding examinations.
Provide Post-examination Administrative Support:
- Unpack and organise all stationery following its return from exam venues.
- Support administrators with the marking of candidates' answer sheets and produce reports of candidates and question performance using the marking software.
- Input results into the RCR's database and assist with the production and checking of candidate results.
- Ensure all question papers and answer booklets are processed in line with the RCR's retention policy.
General Candidate-Facing Support:
- Take responsibility for the examination enquiries, telephone line, and emails.
- Maintain accurate records of candidates and their results, in various forms.
- Assist with the running of London examinations, working alongside colleagues and invigilators.
- Support members of the wider team with non-operational administration when necessary.
- Contribute to the production and maintenance of accurate Standard Operating Procedures regarding examination administration processes.
- Undertake such other duties appropriate to the level of the post holder's qualifications and experience as may be required by the College from time to time.
Internal Working Relationships:
- Colleagues in the Examinations Team, notably the exams operations administrators, are supporting their workload and working collaboratively.
- The wider Examinations Team, including the Examinations Manager and Senior Exams Manager.
- The broader College, including the Finance and Facilities Teams.
External Working Relationships:
- Examination candidates and their trainers, and other Fellows and members of the College, in a service provision capacity.
- Examination invigilators and examination venues - liaison as necessary as directed by the examinations administrators/managers.
Knowledge, Qualifications, and Experience:
- Experience of successful working within a team and the provision of a professional, friendly, and responsive service to colleagues and external contacts.
- Experience working in an exam, assessment, and educational setting.
- Good working knowledge of Microsoft packages such as Outlook, Word, and Excel.
- Experience using and maintaining a database or equivalent to store and retrieve information so that data is accurate and current.
Skills and Abilities:
- Accurate use and understanding of English.
- Sound oral and written communication skills.
- Effective interpersonal skills.
- Ability to work effectively within the team, working collaboratively with colleagues to deliver tasks.
- Accuracy and attention to detail.
- Ability to prioritise work to competing demands and meet deadlines.
- Educated to A-Level or equivalent, with a good standard of literacy and numeracy.
- You must have the right to work in the UK.
- Hybrid model, working in the London office and remotely.
