About the role

We are looking for someone to work as part of our London team alongside our finance and business support functions. This is a pivotal role, a key member of the project team to facilitate and promote the importance of quality project data along with ensuring our client requirements are met for billing purposes.

This role will work closely with Project Directors and Project Leads. Key duties include:

  1. Use internal finance systems and processes to establish and maintain project data.
  2. Ensure additional fee awards are updated on systems along with subsequent costs and correct auditable documentation.
  3. Liaise with Credit Control team for new and reactivated client requests.
  4. Maintain project and master fee drawdowns for tracking scheduled invoicing on active projects.
  5. Lead meetings with project leads and project directors to ensure update of drawdowns.
  6. Process monthly invoices in line with drawdowns along with detailed billing schedules based on client requirements.
  7. Maintain sub-consultancy invoices logs comparing PO's to invoices received where appropriate.
  8. Co-ordinate project leads completion of resource plans and forecast costs to facilitate secured forecast.
  9. Co-ordinate data recorded for pipeline and enquiries for monthly forecast.
  10. Resolve any data inconsistencies identified in weekly project reporting and escalate any commercial matters to the Commercial Accounting team.
  11. Support financial accounting team to obtain project financial information and documentation for annual financial audit.
  12. Track interoffice transactions for any trading between different business cost centres.

About you

A people person who is comfortable dealing with all levels throughout the organisation.

  • A people person, confident approaching and connecting with stakeholders in a pro-active way.
  • You'll be IT literate with good knowledge of Microsoft Office including Excel.
  • Experience managing and maintaining data.
  • Strong interpersonal skills and able to gain respect quickly for individuals at all levels.
  • Strong organisational skills and the ability to multi-task are essential, with a good team spirit.
  • Good attention to detail and able to work through a task in a methodical way.
  • Confident challenging the "Status-Quo".
  • Self-awareness, an open mind, and a spirit of generosity.
