We Are DesignScene. We craft design-led events and experiential marketing campaigns for brands worldwide.

We are looking to recruit a French/German Speaking Project Assistant based in London to support our Senior Producers in planning and delivering digital, live events and experiences with a minimum of 2 years' events agency experience or work in a similar field.

This is an exciting opportunity to work with a talented global team on hugely creative and innovative projects. Some of our major international clients include Amazon, Google, Yahoo, Snap, Qualcomm, Live Nation and ITV Global Entertainment for whom we activate worldwide at markets such as CES, IFA, MIPCOM and Cannes Lions.

Our focus is creativity with a practical head - we offer creative solutions for our clients that fit within budget and within brief and are always looking to push creative boundaries, try new products, processes and materials and create industry talking points.

Reporting to a senior producer, we are looking for a candidate who can bring their experience and qualities to enhance our already talented team. They will need to work efficiently across multiple projects with both clients and team members spread across multiple time zones in Europe and the USA.

What is the purpose of the job?

To support producers and production teams across a range of projects to ensure effective delivery of tasks.

Assisting with the management of the relationship with clients and the planning, execution, and closing of any project meeting the stated project brief.

The Role

Location: DesignScene Limited, London

What do you have to achieve?

  • An efficient support service to the team.
  • Input into successful and profitable projects.

Job Activities - what do you have to do?

  • Project admin i.e. meeting agendas, contact reports, diary management, project related client contact.
  • Some budget management and responsibility - especially to own smaller projects with a sign off from the line manager.
  • Efficient working across international teams and time zones.
  • Effectively learn and manage project management systems and inputs to include expenses, timesheets, costs into budgets etc.
  • Arrange and attend internal and external meetings for project catch ups where required.
  • Liaising with internal teams and key stakeholders.
  • Create and manage appropriate project documentation including furniture lists, items for storage following de-rig, meeting agendas etc.
  • Management of deliveries, couriers and post.
  • Conduct venue searches and other project research.
  • Arrange bookings, crew and travel bookings etc as required by the team.
  • Assist on-site at events as required.

  • Understanding of creative, design and production technology.

What technical knowledge do you need?

  • Competent use of Microsoft Office Word, Excel, Outlook, PowerPoint, Apple Keynote and Cloud Computing Applications.
  • Ability to read and interpret CAD drawings (nice to have).

Discretionary Bonus: based on business & personal performance

Holiday: 22 days paid holiday per year.

WFH: Monday & Friday at home, Tues, Wed, Thurs in office for full time staff. Additional 18 bookable WFH/remote days.
