JOB SUMMARY
Work within the Lift & Escalator Department in assisting the team in keeping the CWM portfolio fully maintained and operating at the highest standards. Supporting the creation, monitoring, adherence and improvement of all procedures for the L&E Department. Consolidation of the lift performance data, as part of routine reviews and analysis.
Salary: £43,000 - £47,000

MAIN RESPONSIBILITIES
- To report to the Lift and Escalator Services Manager all incidents involving CWML lifts and escalators. Communicate with all interested parties (Building Team/Security) on developments following unit breakdowns, repairs and life-cycle works, until such time that the unit is returned to normal service.
- To assist the Lift and Escalator Services Manager in the accurate administering, distributing and monitoring the LOLER reporting procedure against all CWM L&E assets. Ensure timely close out of all and any defects raised and follow-up with contractors in accordance with CWM L&E guidelines and H&S File updates.
- To assist the Lift and Escalator Services Manager in the uploading and distribution of Emergency Defect items raised on any unit onto CWML's Asset Register via SharePoint, close-out of each item following completion of works within the issued timescale. Ensure visibility of defect reports is available to senior management and the associated building management team.
- Supporting in the daily registration of call-outs, monitoring timescales for units being returned to normal service. On-site Safety Inspections to ensure contractor compliance. Assisting with the uploading of the contractors' worksheets onto SharePoint.
- Assistance with reviewing all submitted contractor Risk & Method Statements, monitoring the works and confirming that the submitted methods have been followed. Support with the permit application, ensuring the correct CWML permit in place covering the respective works. Consideration required for the continuation of the overall building functionality through collaboration with the building team, preventing impact on CWM tenants and all visitors.
- Assistance in the setting-up service agreements for units within new locations under CWM L&E management, plus the existing contracts.
- Preparation and uploading of detail for units serving new buildings and locations onto the CWM Shared Areas within the CWG SharePoint. Extracting key performance information relating to the installed units for routine benchmarking and auditing. Ensuring all stipulated certification and Handover documents are available from Canary Wharf Contractors in a timely manner.
- Assistance with the creation of the auditing specifications for each of the units across the CWM L&E assets. On-going support in the monthly scheduling for the unit auditing and administration of raised items completed by the respective contractor.
- Perform routine quality inspections and audits on all lifts on the Estate. Keeping up to date all lift and escalator unit registers and ensuring that they are meeting business demands and compliance. Feedback condition reports to contractors as part of the monthly reviews. Routine inspections to ensure that all Lift Motor Rooms are always kept locked and in a pristine condition. Routine visual inspections to all Estate escalators.
- Provide support during the CW tender procedure. Assist with the consolidation and distribution of the tender details and verification and allocation of the contractors' returns. Support through the steps to final award, ensuring that all related documentation is collated onto the shared areas for future reference.
- Co-ordination of the required documents for all major project works covered under CDM 2015. Provide support to the L&E Services Manager during each stage of the works programme. Ensuring all necessary documentation is submitted as required, therefore allowing the project to be closed in good time. Supporting the on-site operations with inspections and auditing of works completion, alongside the L&E Services Manager.
- Assist the Lift and Escalator Manager in ensuring contractors provide structured programmes for all associated works and co-ordination with the appropriate trades. Facilitate regular project reviews, providing routine progress updates throughout the respective project's lifetime to the Building Managers/Directors/Managing Director. CDM 2015 requirements and Contractor Short Form Trade Contract should be fulfilled where necessary. To assist the Lift and Escalator Manager through routine reporting on all maintenance visits that are carried out to all CWM L&E portfolio, as per the agreed weekly schedule with each respective contractor. Distribution of completed data onto the respective internal shared areas, availability for routine contractor reviews.
- To produce visual representation of the L&E contractors performance data. Providing support with the summary and analysis of the monthly and year-to-date reports. Co-ordinate presentations for contractors' monthly meetings, plus presentation to Building Managers/Directors/Managing Directors. Ensure Elevator Management System (EMS) reports are available for the monthly reporting.
- To provide the department with assistance on routine financial tasks, involving raising Purchase Orders, and monitoring invoice applications. Producing monthly, quarterly and year end reports.
- Collaboration with the L&E team, updating weekly the Work in Progress schedule (WIP), aligning and reporting progress within the role and wider L&E team.
- To carry-out reasonable duties as requested by the Lift and Escalator Services Manager and the Lift and Escalator Manager.
- There is potential for the role to evolve alongside the Department requirements, and so following your induction there will be on-going personal development and upgrading of knowledge. The L&E Department continually needs to be aware of the latest Health & Safety requirements and industry best practices, the role requires a willingness to learn.
- To be thoroughly familiar with the Company's Health & Safety Policy and to assist the Lift and Escalator Manager with the requirements in all such aspects.
- The role involves inspections and auditing of the CWM lifts and escalators, prior experience and knowledge of working within this industry is highly desirable. Conversant with the Regulations and Codes associated to both lifts and escalators. CDM experience. Excellent Health & Safety knowledge - IOSH Managing Safely.
- Experience of working in Property Management is desirable, but not essential. The incumbent must be computer literate and proficient in Microsoft Word, Microsoft Excel, Windows 2010 and Microsoft Outlook. The incumbent should possess a good standard of written English; GCSE English Language or equivalent is essential.
- The incumbent must be organised, able to communicate at all levels, work under pressure and to deadlines. Flexibility in attitude and approach to work is essential.
- The incumbent must have an appreciation of the importance of customer service and how this is applied in the context of Canary Wharf.
