ABOUT THE ROLE

The Operations Coordinator sits within the Customer Growth team at Hearst UK and is responsible for the management and coordination of subscription operations across our market leading portfolio of brands. The role reports to the Head of Operations and Planning and is a crucial function that underpins the strong and reliable delivery of our core services to our direct customers. With responsibility for all print mailing and gift with purchase operations, the role involves being the key contact across multiple supply chain partners and internal teams. Strong communication, planning, and problem-solving skills are therefore paramount to the successful delivery of this role.

RESPONSIBILITIES

  • Subscription Mailing Operations
  • Stakeholder management with our mailing operators to ensure compliance with all Royal Mail or similar documents, including updating insignia, changing paperwrap designs and coordinating Christmas collections.
  • Stakeholder management with the warehouse team to coordinate booking in of deliveries across all consumer products managing adhoc requests, costs and stock flow.
  • Manage the gift with purchase process including ensuring all information captured, marketing team briefed, delivery within timescales, monitoring gift levels to provide opportunities to use remaining stock to drive subscriptions, creating bundle gift codes where needed and managing the monthly disposal list.
  • Review the weekly CIR & PRO files to ensure all orders are being sent out within SLA.
  • Lead the cross-department Subs Ops x marketing weekly meeting including sending out action points & notes and following up on outstanding actions.
  • Run subscription issue reports, adding accurate data on core subscriptions, partnership subs and memberships, plus communicate movements both against latest forecast & budget, and month on month, to the wider team to drive strategic changes.
  • Actualise Tesco reporting revenue workaround monthly.
  • Create and continually keep the mailing schedules up to date incorporating any production changes, embargoes or promotional activity, ensuring all changes are communicated internally and externally.
  • Cost management and budget alignment across 2 large subscription cost bases; delivery and fulfilment, coding invoices, regularly actualising the forecasts, discussing risks and opportunities, and providing insights to the wider team to use for future activity.
  • Cost coordination on advertising inserts mailing costs ensuring the costs are correctly assigned to the right brand and advertising area when actualising, and providing advertising teams with estimated costs ahead of new campaign launches.
  • Brief all new non-core products to be sold online and keep the production schedules updated and communicated to key partners.
  • Provide operational support for new membership launches.
  • Key operational & process support across the Piano project to move out of our current subscription fulfilment house, identifying process changes required and ensuring smooth transition.
