Job Description

Looking for a Personal Assistant for our client in London preferably in the retail/fashion industry.

Location - London (mostly 5 days onsite based)

Contract role - Inside IR35

Purpose:
Provide high-level administrative and organisational support to (VP, Visual Merchandising), VM team, and the Architecture team. This role ensures smooth day-to-day operations and acts on behalf of the executive in agreed areas when needed.

Key Responsibilities:

  • Extensive diary and agenda management across time zones
  • First point of contact for the leadership team
  • Processing expenses in line with company policy
  • Raising purchase orders and managing invoices
  • Booking travel and preparing trip itineraries
  • Handling IT and maintenance queries
  • General office administration
  • Assisting with presentation and document preparation
  • Event coordination (eg, team meetings, global townhalls)
  • Providing support to wider team members as required

Profile Requirements:

  • Previous experience supporting senior leadership as a PA
  • Highly proficient in Word, PowerPoint, and Excel
  • Familiar with travel/expense systems (eg, Concur)
  • Comfortable using VC tools (eg, Skype, WebEx, Teams)
  • Strong organisational and multitasking abilities
  • Professional, discreet, and proactive
  • Excellent communication and interpersonal skills
  • Calm under pressure, adaptable, and detail-oriented
  • A true team player
