What you'll be doing to make a difference:
- Define, implement, and maintain PMO standards, frameworks, and best practices to support project delivery and governance.
- Oversee the governance framework for all projects within the portfolio, ensuring compliance with defined processes and performance metrics.
- Act as the business owner of PSA tools such as Teamwork, ensuring their effective use across the Professional Services function, including system configuration, process optimisation, and user training.
- Manage other operational tools, including estimation tools, project templates, and SharePoint libraries and sites, ensuring consistency and accessibility.
- Collaborate with stakeholders to establish KPIs that align with business objectives, measuring project performance, efficiency, and effectiveness.
- Monitor, track, and report on portfolio performance, providing transparency through regular reporting and data-driven insights.
- Develop and maintain tools, dashboards, and reports that track project progress, financial performance, utilisation, forecast accuracy, and margins.
- Facilitate internal governance meetings, including weekly project and portfolio reviews, monthly operational reviews, and financial performance analysis.
- Provide accurate revenue forecasts and utilisation reports, supporting financial planning and resource management.
- Analyse data to identify performance trends, root causes of issues, and opportunities for process improvement.
- Support Engagement Managers and Project Managers by ensuring consistent application of governance processes and best practices.
- Drive a culture of continuous improvement by identifying areas for process optimisation and ensuring adoption of industry best practices. Serve as a key liaison between Professional Services, senior leadership, and other business units to ensure alignment and collaboration.
- Portfolio Transparency: Accurate, timely, and comprehensive reporting that provides clear insights into project and portfolio performance.
- Governance Compliance: Consistent adherence to PMO standards and governance frameworks across all projects.
- PSA Tools Effectiveness: Optimal configuration and usage of Teamwork and other tools to support efficient project delivery and reporting.
- Data-Driven Insights: Effective use of data analysis to highlight trends, issues, and opportunities for improvement.
- Stakeholder Satisfaction: Positive feedback from key stakeholders on the quality, clarity, and usefulness of performance reporting and governance processes.
- Continuous Improvement: Measurable enhancements in operational efficiency, driven by process optimisation and best practice adoption.
- Bachelor's degree in Business Administration, Operations Management, Project Management, or a related field.
- Relevant qualifications such as Prince2 or P3O.
- Minimum 5 years of experience in PMO leadership, operations management, or a similar role within a professional services organisation.
- Proven experience in defining and building PMO standards, processes, and governance frameworks.
- Strong understanding of project and programme management fundamentals, including governance and delivery processes.
- Expertise in developing and tracking KPIs to measure project and portfolio performance.
- Expertise in, and experience as a business owner of, PSA tools (e.g., Teamwork, OpenAir, Forecast), including configuration, process optimisation, and user training.
- Proficiency in managing estimation tools, project templates, and SharePoint libraries & sites to support project delivery.
- Expert proficiency in data analysis and visualisation tools such as Excel, Tableau, Microsoft Power BI or similar platforms.
- Excellent communication and stakeholder management skills, with experience collaborating with senior leadership and cross-functional teams.
- Ability to facilitate governance meetings, including project and portfolio reviews, financial performance reporting, and utilisation analysis.
- Strong analytical and problem-solving skills, with the ability to interpret complex data sets and provide actionable insights.
