A rare opportunity has arisen in Asset Management for a progressive and driven individual with a desire to make a difference. The Senior Facilities Manager is responsible for delivery and development of a range of hard and soft FM services across the portfolio, ensuring premises are safe and compliant, whilst creating an attractive environment that supports tenant businesses to thrive.

The post holder will oversee planned preventative maintenance and reactive works that reflect both operational and strategic plans for the premises. They will work with the supply chain to agree solutions and undertake regular audits to ensure standards and value for money are maintained. Activities involve collaborating with stakeholders, suppliers, and customers to prioritise and execute programmes of work, drawing up scopes and managing small projects and associated budgets, ensuring delivery of services on time.

The Senior Facilities Manager will work alongside the Data team to update asset information, ensuring data is accurately maintained in the CAFM system. The post holder will also support the FM Helpdesk as required, advising and triaging reactive tasks as appropriate, ensuring works are properly scoped prior to being commissioned.

You will work in a collaborative and solution-focused environment to deliver a good quality end-to-end service that removes risk and builds capabilities in the right place.

The position sits within the Facilities Management team and reports into the Senior Property Operations Manager.

The Portfolio

The commercial portfolio comprises of circa 3500 units and over 2600 agreements generating an income of £90m per annum. The portfolio is mixed-use comprising arches, retail units, offices, industrial, residential, land, and other miscellaneous buildings and uses. The organisation is investing off the back of strategic plans that will lead to significant improvements to the portfolio, creating better environments for customers and supporting income growth. The Senior Building Surveyor will play an important role in ensuring property assets are well maintained, creating opportunities to reduce carbon emissions, whilst upholding capital and rental values and therefore contributing towards the strategic goals.

Key Accountabilities
  1. Eliminate and mitigate risks to health and safety through completion of property risk assessments and regular inspections.
  2. Identify and manage reactive repairs, developing and agreeing scopes of work with the supply chain, ensuring best value within delegated budgets and deadlines.
  3. Define and scope cyclical works regime for hard and soft services, including statutory compliance.
  4. Manage effective and productive relationships with business partners, contractors, and suppliers.
  5. Maintain data within the CAFM system, ensuring assets are accurately captured and records are maintained.
  6. Work with Property and Asset Managers to develop a Service Charge or Service Cost as appropriate.
  7. Set standards and use performance management techniques to monitor and demonstrate achievement of agreed service levels.
  8. Supervise and lead subordinates ensuring they have targets and development plans.
  9. Respond appropriately to emergencies or urgent issues.
  10. Implement and monitor sustainability practices and energy efficiency measures.
Knowledge
  1. Relevant Degree together with corporate membership of RICS or similar body.
  2. NEBOSH in Safety Management.
  3. Associated legal aspects, financial control, and procurement processes.
  4. Comprehensive awareness of the regulatory and statutory compliance framework.
Skills
  1. Self-starter with an ability to multi-task and prioritise workload.
  2. Ability to think innovatively and resolve problems quickly.
  3. Effective communication skills at all levels.
  4. Financial acumen and ability to manage budgets.
  5. Ability to lead and motivate a team.
  6. Ability to write clearly and concisely.
Experience
  1. Substantial experience in building maintenance and facilities management best practices.
  2. Experience in the administration of a range of projects.
  3. Experience of appointing external consultants and monitoring progress.
  4. Experience in commercial and residential estate management.
  5. Relevant proven experience in a multiple site environment.
  6. Skilled in using property management software and tools.
