We are looking for a Special Events Coordinator to join our Fundraising team.
Title: Special Events Coordinator
Salary: £31,382 per annum
Contract: Permanent
Hours: 35 per week (standard Anthony Nolan working hours)
Location: Hybrid, with head office in Hampstead, London
Job Summary
You will project manage a diverse programme of events, including high-value stewardship and cultivation events, high-value income generating events and educational and engagement events to our clinical audiences. You will act as a point of contact for a number of teams in the organisation, providing support and expertise. You will also manage a number of key external supplier relationships with the possibility of growing and owning relationships with high-value volunteers.
You will:
- Collaborate with colleagues across departments to plan, market, produce and deliver a successful programme of events which meet agreed objectives, budgets and KPIs.
- Manage all aspects of each event including administrative, financial, logistical and communication processes, maintaining accurate records, delivering excellent customer care, and ensuring events run efficiently and professionally.
- Develop and maintain relationships with event attendees, internal and external stakeholders, volunteers, suppliers, sponsors and partners to build long-term support.
- Work with the wider team to deliver the current plans and budgets and contribute to the development of future plans and budgets.
- Ensure accurate financial record keeping (recording and tracking all income and expenditure).
- Manage all aspects of fundraising at income generating events where necessary e.g. identifying fundraising mechanisms, sourcing prizes etc.
- Work with internal teams to produce all design materials and communication campaigns.
- Write and produce comprehensive briefings for external suppliers, high-profile speakers, senior staff and volunteers.
- Evaluate and report on the success of each event and consider areas of improvement for future event planning.
- Work with and possibly manage high value volunteers and external committees to develop events income and prospect streams.
You will bring:
- Experience of managing diverse and complex events.
- Good working knowledge of events production, venues, catering, events fundraising mechanisms, potential suppliers etc.
- Track record of delivering against budget targets and working with financial processes.
- Project management skills with the ability to manage multiple projects simultaneously and collaborate across teams.
- Excellent relationship management skills with experience building and developing relationships with internal and external stakeholders.
- Excellent time management skills with the ability to work within a fast-moving environment, identifying and responding appropriately to changing priorities and meeting tight deadlines.
- Excellent interpersonal and communication skills to interact with people at all levels and inspire and motivate support.
- Experience of problem solving and working on own initiative.
- Excellent IT and administrative skills including experience of using stakeholder databases, event ticketing platforms and Microsoft Office Suite.
