Position: Permanent
Functional area: Account Management Division
Reporting to: Account Management Division Deputy General Manager
Supervisor: Sales & Supply Chain Assistant Manager
Purpose of the job:
SALES ORDER PROCESSING: Manage the orders of our distributors, liaising with the warehouse, suppliers, and other team members to ensure timely resolution of queries and that goods are shipped according to customer expectations.
OPERATIONS PLANNING: Demand planning and reporting of sales, stock, backorders, and shipment schedules.
PROJECTS: Support the Account Management team with the implementation of new business lines/products and projects to improve company efficiency, which may require extensive ERP development.
OTHER DUTIES: Provide internal/external auditing support, Customs/product classification, item master update, logistics cost reporting, etc.
General Duties
- Sales Order Processing for all Mitsubishi Air-conditioning products (Units, accessories, spare parts):
- Daily processing of sales orders in our system
- Tracing and release of Back Orders in our system
- Preparing and supplying the necessary documentation (P/L, Proforma invoices) to our customers
- Liaising with customers by phone and/or email to answer enquiries regarding sales orders, stock availability, and Orders ETAs
- Liaising with Warehouse staff to resolve delivery and stock issues
- Liaising with suppliers
- Consulting with the Technical Team (Pre/After sales as appropriate) to support sales
- Releasing Stock and controlling aged back orders daily to support inventory management
- Filing necessary shipping documentation (POs, Bill of lading, waybills, invoices, credit memos, etc.)
- Assisting during the auditing process
- Operations Planning
- Liaising with vendors to ensure proper replenishment of stock
- Demand planning for assigned category
- Understanding reporting tool Power BI and creating reports when requested
- Day-to-day monitoring:
- Production schedule update
- Inbound update
- Projects:
- Supporting with new business set up
- Supporting with new lines of products and new customers
- Supporting with new demand planning and replenishment system
- OTHER DUTIES
- Providing internal/external auditing support
- Customs/product classifications
- Updating item master in the system
- Logistics cost benchmarking, Route to market study, etc.
Required Skills
- Good analytical and numerical skills
- Good communication skills
- Excellent customer service attitude (internal/external)
- Minimum 3-4 years experience in supply chain, demand planning, and stock management
- Proactiveness
- Teamwork and cooperation with colleagues

- Commercial awareness
- Ability to manage priorities
- Initiative and problem-solving attitude
- MS Office (Advanced - Excel is key)
- Experience with System/ERP (nice to have)
- Accounting knowledge (nice to have)
- Interest in the technical aspects of aircon units (Desirable)
Education:
- English and Maths GCSE Grade C or above, or equivalent

Working Hours:
- 9:00 - 17:00 (1 hour lunch break), 35 hours per week, Monday to Friday
