Job Description
A phenomenally successful FTSE 100 company is looking for a calm, highly professional and reliable Senior EA to support their charming, sporty CFO. The role is based in Mayfair, 4 days in the sensational offices with its own gym, and 1 day working from home. There are 17,000 people employed worldwide with 20 people in the head office in Mayfair, 4 of which are EAs who all support each other when needed. The environment is very collaborative and exceptionally friendly; they work hard but make sure they bring some fun into their working day too.
The right candidate for this fantastic role will have worked for a FTSE listed company.
Key Responsibilities:- Administrative support to the CFO and ad-hoc to the COS (including managing daily calendars, scheduling meetings, and coordinating travel arrangements).
- Act as a gatekeeper and manage the CFO's time effectively, prioritising tasks and appointments based on urgency and importance.
- Manage complex diary scheduling, coordinating multiple calendars across time zones.
- Manage international travel and itineraries, ensuring smooth logistics for meetings, accommodations, visas and transport.
- Handle all incoming communications, including emails and phone calls, and prioritise urgent requests.
- Prepare and edit documents, presentations, reports, and spreadsheets for internal and external use.
- Ensure the CFO is well-prepared for all meetings by collating materials in advance.
- Coordinate logistics for conferences, off-site meetings, and executive team events.
- Handle confidential information, documents, and communication with the highest level of discretion and professionalism.
- Liaise with internal stakeholders, including board members, senior executives, and department heads, as well as external stakeholders such as investors, auditors, regulators, and advisors.
- Manage communication between the CFO's office and other departments, ensuring that information is relayed efficiently and professionally.
- Process and track the CFO's expenses and reimbursements using Concur following company policies and timelines.
- Process invoices by acquiring necessary approval signatures and ensuring timely submission.
- Liaise with investor relations and coordinate investor relations activities.
- Assist in organising finance-related events, conferences, and off-site meetings.
- Collaborate with other EAs and project teams to ensure alignment and effective support for key initiatives.
- Handle ad hoc troubleshooting requests from the CFO to resolve day-to-day issues to maintain a smooth workflow.
- Solid experience as a Senior EA in a FTE listed company, ideally supporting a CFO but not essential.
- Degree educated or degree calibre.
- Well-presented and polished.
