Admin Support Officer, full-time, temp, Ballymena

Your new company

Hays are partnering with a public sector organisation to recruit a temporary Admin Support Officer to ensure that the day-to-day administrative activities are completed on time and to a high standard of accuracy and quality. This role is based in Ballymena.

Your new role

  • Manage the Head of Service's emails and ensure appropriate actions are taken.
  • Support the Head of Service in daily activities and administrative tasks, maintaining confidentiality.
  • Identify and prioritise urgent matters.
  • Manage the diary, schedule appointments, screen calls, handle correspondence, and produce documents.
  • Create and maintain confidential investigation files and records.
  • Compile, research, and produce reports for various meetings.
  • Attend meetings, take minutes, and follow up on actions.
  • Provide general secretarial and administrative support to the management team.
  • Develop and maintain office systems for file and information management.
  • Handle varied administrative duties and enquiries from various stakeholders.
  • Develop and maintain an internal system to track work issues and ensure timely resolution of queries and complaints.
  • Provide general administrative services, including word processing, spreadsheet and database maintenance, photocopying, scanning, and handling public enquiries.


  • What you'll need to succeed

    Have a minimum of 5 GCSEs to include English Language and Maths (grade C or above) or equivalent qualifications to demonstrate literacy and numeracyANDBe able to demonstrate, by providing personal and specific examples, a minimum of one years' administrative experience in a busy office environment, to include:
  • Email management and diary management
  • Liaising with a range of contacts and stakeholders and dealing with correspondence and drafting responses
  • A sound working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint and Outlook
