ROLE PURPOSE
The purpose of this role is to provide high-level executive, confidential secretarial and administrative one-to-one support to the UK CEO with all aspects of their work. In addition, the role leads a team of PAs across the UK.
RESPONSIBILITIES
- Providing exceptional EA support with extensive and proactive diary management.
- Build and maintain strong and trusted relationships with the UK Exec Leaders and their PAs.
- Leading the organization of numerous high-profile meetings, All Hands, and events throughout the year with internal and external senior stakeholders (including organizing hospitality, room bookings, and IT support).
- Composing and distributing presentation materials, agendas, and minutes as required.
- Monitoring all correspondence including inbox and flagging urgent emails while always maintaining a high level of discretion and confidentiality.
- Coordinating and managing European and international travel; collation of supporting itineraries, schedules, and agendas; organization of visas, passport applications/renewals, and travel vaccination arrangements.
- Coordinating and managing annual leave across the Exec Leadership Team.
- Reconciling and submitting expenses and timesheets in a timely manner.
- Ensuring that relevant distribution lists are maintained and updated.
WHAT YOU BRING
- At least 5 years' experience of supporting senior executives and working with senior stakeholders.
- Excellent prioritization/multi-tasking and time management skills.
- Strong written and verbal communication skills.
- Well-developed organizational skills: highly organized with strong ability to take the initiative, prioritize, and hit the ground running.
- Enthusiastic, "can do" attitude and willing to be flexible and good-humored.
- Professional discretion and understanding of the importance of confidentiality.
- Exceptional attention to detail.
