Executive Assistant Office Manager

Our client, an international management consultancy, is looking to recruit an Office Manager / Executive Assistant to support their team of 11 analysts and consultants in central Paris.
The role
You will play a central role supporting the French-based senior team, ensuring the smooth-running of the Paris office as well as liaising with the UK and US operations teams. It is a hands-on and varied position, juggling a wide range of tasks. You will work closely with an international support team of six Executive Assistants and Office Managers.
The role is highly varied, with a rough 50/30/20 split between EA duties (acting as EA to the Paris-based Partner and Director), office management (being responsible for creating a first-class office environment) and operations support (working with global operations functions in areas as diverse as marketing, recruitment and IT).
Given the nature of the role, you would be required to be based in the office 4-5 days per week.
Candidate requirements
- Proven experience as an Office Manager, Personal Assistant or Executive Assistant, preferably within professional or financial services
- Be highly proficient/bilingual in English and French
- Be proficient in Microsoft Outlook and other Microsoft Office programmes
- Outstanding written and verbal communication skills
- Be exceptionally organised with the ability to multi-task and create their own to-do list
- Have excellent attention to detail
- Be comfortable managing busy schedules
- Have the confidence to manage multiple requests from senior people and stand up for themselves when necessary
- Display high levels of integrity when dealing with sensitive information
- Be empathetic - consider work/life balance, priorities and impact on wider team/project teams when supporting senior team
Key responsibilities
Office Manager duties
- Responsible for the smooth-running of the office
- Maintaining a first-class office environment
- Being the to go-to person for the French based team
- Playing a key role in creating a happy & motivated office environment
- Answering main phone line and redirecting calls as necessary
- Liaising with contractors and the building management team
- Arranging office fun
- Keeping stock of and ordering office supplies
- Replenishing office fruit / snacks
- Performing administrative tasks such as printing, report binding
- Liaise with global operations functions in marketing, recruitment and IT
EA duties
- Complex diary management of busy schedules
- Liaising with clients to set up meetings for senior teams
- Booking travel arrangements and hotels
- Booking restaurants in Paris and further afield for internal and client entertainment
- Inputting your senior team's timesheets & expenses
- Collating and input CRM data from your senior teams
- Ad hoc personal support for senior team, when needed
- Providing cover for other EAs during sickness and holidays

Salary
