ROLE OVERVIEW

This is a hybrid role that combines executive support for the CEO with office management responsibilities. You will play a key role in ensuring the CEO's day-to-day activities run smoothly while also managing the operational efficiency of our office.

This role requires excellent organisational skills, the ability to handle confidential information with discretion, and a proactive approach to problem-solving. It's a fantastic opportunity for someone who thrives in a dynamic startup environment and enjoys a mix of strategic and hands-on tasks.

KEY RESPONSIBILITIES

  1. Manage CEO & Chair's schedules, meetings, and travel.
  2. Anticipate needs to improve efficiency and streamline operations.
  3. Act as liaison with internal teams, board, investors, and stakeholders.
  4. Prepare meeting materials, including agendas, presentations, and follow-ups.
  5. Handle confidential information with discretion.
  6. Take meeting notes and ensure action items are completed.
  7. Provide research and project management support.
  8. Oversee travel logistics, including visas and accommodation.
  9. Track key projects, ensuring deadlines are met.
  10. Prepare reports, presentations, and documents for leadership.
  11. Monitor industry trends and summarise key insights.
  12. Ensure the smooth running of day-to-day office operations.
  13. Manage office supplies, IT equipment, and vendor relationships.
  14. Coordinate company events, team-building activities, and off-site meetings.

WHAT WE ARE LOOKING FOR

  1. Experience: 3+ years in a similar role, preferably in a fast-growing startup or tech company.
  2. Skills: Exceptional organisation, time management, and communication skills.
  3. Tech-literate: Comfortable using productivity tools (e.g., Microsoft Office, Confluence, etc.).
  4. Problem Solver: Proactive, resourceful, and able to anticipate the needs of the CEO and team.
  5. People Person: Approachable, discreet, and able to handle sensitive matters professionally.
  6. Multi-tasker: Able to manage multiple responsibilities in a fast-moving environment.
  7. Adaptability: Comfortable wearing many hats and thriving in a startup setting.
