About the Role:

We are seeking a Head of Operations to join our talented team. You will report to the Managing Director.

As the Head of Operations, you will align processes, teams, and resources to deliver efficient and effective service to clients, and enhance the stability and profitability of the agency.

Your Responsibilities:

  1. Operational Excellence
    • Oversee the agency's operations, including project management and workflow.
    • Direct all operational elements supporting the execution of our company strategy.
    • Streamline and elevate ways of working.
    • Reduce points of friction and inefficiency in how we work.
    • Partner with the agency's HR team to develop strategies for workforce planning that balance team capacity, professional development, and retention, ensuring that staffing aligns with both current operational needs and future growth goals.
    • Maximise billable time in a way that supports product development and innovation.
    • Develop and implement resource management models that adapt to client and seasonality needs.
    • Optimise processes & cross-team collaboration.
    • Lead and monitor all delivery system and tool implementation and use within the organisation, including AI usage.
    • Lead the agency's approach to data security and compliance.
  2. Financial Delivery
    • Work with other senior stakeholders to decide upon investments in platforms, equipment, and infrastructure that will support the business to retain its leading place within the sector.
  3. Leadership
    • Be a crucial member of the Leadership team, working with other department heads to ensure efficiency across all operations.
    • Make recommendations on how to shape the agency around client needs.
    • Act as the company's main adviser on all issues relating to operational functions and keep abreast of latest developments to ensure that the company maintains its competitive position.
    • Ensure operational decisions are kept in line with the agency's vision and strategy.
  4. Client Excellence
    • Ensure client quality, objectives, and excellence are at the heart of the agency's operations.
    • Collaborate with the new business team to scope and allocate resources on projects in a way that balances client needs and agency targets.
    • Work closely with the account management team to develop and maintain seamless standard operating procedures for client onboarding and ongoing exceptional service.
    • Experience of auditing, creating, and improving processes in busy agency environments.
    • Strong project management skills, and familiarity with a range of project management tools.
    • Strategic planning and analytical skills and impressive attention to detail.
    • Confident and resourceful with excellent relationship management skills.
    • Comfortable spearheading areas of organisational change and embedding new ways of working into agency culture.
    • Have good business acumen, with the ability to make a telling contribution to the strategic development of the business.
    • Have a solid understanding of the wide range of needs, roles, skills, and communication styles across an agency, and tailor change management accordingly to ensure maximum buy-in and results.
    • Flexible working attitude, with the ability to think on your feet and juggle conflicting priorities - a creative problem solver.
    • Outstanding interpersonal and communication skills (verbal and written), with excellent presentation skills.
    • A team player, with the ability to work under pressure in a busy and constantly changing environment, whilst delivering a highly professional service.
    • Excellent Excel skills.
