Job Description
Program Manager, Academics (m/f/d) New York University (NYU) Berlin is seeking a full-time Program Manager, Academics for the Academic Center, located in the Kulturbrauerei in Prenzlauer Berg, Berlin.

POSITION SUMMARY

The Program Manager, Academics, is a full-time position coordinating most aspects of academic administration for NYU Berlin. This position reports to the Site Director of NYU Berlin and the Assistant Vice President for Academics in the Office of Global Programs to assist in their respective duties of supporting lecturers, academic site staff, and a diverse group of NYU students from all three degree-granting campuses (NYU New York, NYU Abu Dhabi, and NYU Shanghai). The Program Manager, Academics is expected to play a key role in fostering a positive teaching and learning environment that is innovative and responsive to student and lecturer needs. The Program Manager, Academics will support and work with the leadership teams to achieve NYU Berlin and New York University's academic vision and mission, including an institutional commitment to diversity and inclusion. In coordination with the NYU Berlin Site Director, Global Academic Planning, Academic Advisor, and lecturers, the Program Manager Academics will help develop, implement, and manage curriculum and academic support programs and instructional materials that meet educational and performance standards. This includes assisting in updating lesson content and instruction methodology, and assisting in developing training modules and programs. The Program Manager, Academics oversees classroom scheduling, instructor support (i.e., onboarding, learning management system support, submission of grades, training), upholds university policies, and ensures appropriate academic advising for the students.

PRINCIPAL ACCOUNTABILITIES

General (20%)
  • Supervise Coordinator of Academic Services, Academic Administrator, Program Assistant, and GRI Program Assistant. Co-supervise together with Site Director the Arts Coordinator and German Language Coordinator.
  • Assist in the implementation and communication of academic policy at the site.
  • Supervise the smooth and effective running of the Academics Office.
  • Plan and organise academic events and co-curricular trips for classes; coordinate the internships associated with certain classes.
  • Assist in placing NYU students in Humboldt courses; facilitate the use of Humboldt facilities for NYU students such as the library.
  • Other duties as assigned by the Site Director of NYU Berlin.
Registration and Student Support (20%)
  • Assist incoming students with academic-related questions.
  • Assist NYU and visiting students with registration for classes in Berlin and with their registration in preparation for their return to their home campus.
  • Assist all students with the processes for Drop/Add, Pass/Fail, Withdrawal and Incompletes.
  • Assist in providing general support to students over class issues and complaints.
  • Assist with making the necessary arrangements for students requiring academic accommodations such as extra time in exams, note-takers, audio textbooks, etc.
  • Assist in the general provision of academic support to students with disabilities at the site.
  • Coordinate support for students with English as a Second Language.
  • Help to resolve issues of student academic conduct including class behaviour, attendance problems, etc.
  • Assist with the management of the Academic Disciplinary process for students; support the Site Director in the Academic Disciplinary process.
Class and Faculty Support (20%)
  • Assist with the oversight and review of syllabi.
  • Manage the timetabling process.
  • Assist with the creation of new class offerings, changes to existing offerings and course approvals.
  • In liaison with the Site Director and the Academic Advisor, assist in the process of lecturers recruitment.
  • Assist with the orientation of new lecturers.
  • Provide pedagogical support for lecturers to prepare and deliver in person, hybrid and remote courses.
  • Manage development and implementation of an inclusive guest speaker database.
  • Provide guidance and training to ensure lecturers are connected to resources when navigating bias and other matters contrary to an inclusive community.
  • Provide support and advice to lecturers in matters such as classroom issues, procurement of teaching resources, etc.
  • Co-design and attend lectures' meetings and assist the Site Director and the Academic Advisor with all aspects of planning them.
Experiential Learning/Career Development (10%)
  • Manage the relationship with the external provider of NYU Berlin's internship program; organize on-site orientation, monitor attendance and ensure timely submission of student mid-term and final evaluations and supervisor evaluations.
  • Collaborate with Wasserman Center and Global Programs staff to support and develop structured career development programming.
Grades and Record-Keeping (10%)
  • Support the Site Director with the oversight of grading - monitoring standards, timely submission of grades by faculty, coordinating complaints and appeals
  • Ensure the appropriate maintenance of academic records with reference to FERPA, GDPR and data protection requirements
  • Assist with the maintenance of records of grades, attendance, class offerings, etc. according to correct procedures
  • Review class and program evaluations.
Other Academic Activities (10%)
  • Assist with academic orientation each semester. Assist with the planning, staffing and delivery of summer and intersession programs, as appropriate.
  • Assist in the purchasing of academic and class-related resources.
  • In conjunction with the Academics team, review and update website information, registrar's information, learning management system information and NYU publications, etc. in order to maintain accurate information relating to NYUB academics.
  • Help communicate external academic opportunities to students.
  • Coordinate visits from NYU staff and faculty.
  • Supervise day to day enquiries relating to academics from students, parents, external organizations, lecturers, NYUB and NYU staff.
Academic Event and co-curricular planning (10%)
  • Work with NYUB lecturers to approve, schedule and plan Co-Curricular visits and activities.
  • Plan, promote and implement a series of on-campus events (such as talks by NYUB lecturers and external speakers) in conjunction with the Site Director and Academics colleagues.
POSITION QUALIFICATIONS

Required Education
  • Successful completion of a Bachelor's Degree or equivalent.
Required Experience
  • Minimum of four years' experience in university of study abroad academic administration
Required Knowledge, Skills, and Abilities
  • Bilingual German/English.
  • Strong familiarity with German and US higher education.
  • Understanding and empathy with the needs and expectations of international students.
  • Excellent attention to detail, flexibility, problem-solving, organizational and interpersonal skills.
  • Excellent written and oral skills with experience of addressing public audiences.
  • Ability to manage workloads, deadlines, and responsibilities with limited supervision.
  • Ability to gather and report information accurately, clearly and concisely.
  • Ability to collaborate effectively with others in support of the organization's mission.
  • Proficiency in standard office and office productivity software, CMS skills, and familiarization with AI.
  • Ability to exercise good judgement and to handle sensitive information in a discreet, professional manner.
Required Work Permit
  • A valid work permit for Germany through the end of the contract.
Preferred Education
  • Master's Degree
Preferred Experience, Skills and Abilities
  • Five or more years of experience working with a US university, or with Study Abroad students, or with international student.
  • Genuine interest in getting to know a very diverse set of international students and lecturers every semester.
