JOB DESCRIPTION SUMMARY

The Senior Director, Facilities Management (FM) is a senior leader within the organisation, responsible for FM strategy and delivery across Greystar's UK & Ireland's assets. The role holds corporate and professional responsibility for facilities service standards, delivery of strategic / Deferred Maintenance (DM) management, governance, policies, financial management and statutory and regulatory compliance.

Reporting to the Managing Director, Operations, Europe, and with dotted line reports to Senior Directors responsible for UK & Ireland Operations, the role is pivotal in shaping and driving the FM strategy to ensure operational excellence and a superior resident experience. Leading a team of Regional Facilities Managers (RFMs), they will also guide and advise onsite Facilities Managers (FMs), and Maintenance Teams in the delivery of high standards of repairs, preventative maintenance, and execution of capital works, whilst ensuring compliance with all legislation and building regulations, optimising and embedding process improvements across the organisation.

Key relationships and collaborations are with Greystar's Capital Projects, Asset Management, Sustainability, Development, Health & Safety (H&S) and Operational Excellence teams, and the leadership of both Student and Multi-Family property Operations teams.

The role may in due course be required to take responsibility for certain FM initiatives and procedures across the Greystar Europe platform.

JOB DESCRIPTION

  • Develop and lead a high-quality maintenance and repairs service for all UK & Ireland properties, formulating and implementing strategic FM plans.
  • Build strong collaborative partnerships internally and externally to ensure property operations are in line with safety and business objectives.
  • Consistently ensure high quality customer service and value for money, continuously striving to improve standards and implementing associated changes (integrating policy and procedural change as needed).
  • Establish and monitor Key Performance Indicators (KPIs), including Planned Preventative Maintenance (PPM), vendor performance, and operational compliance.
  • Manage contractual relationships of significant value, ensuring all relevant obligations are met, fostering and driving continuous improvement.
  • Analyse and act on operational reports and metrics, delivering fast action when needed, and embedding lessons learned.
  • Provide strategic advice and direction to senior leaders and other key stakeholders, influencing organisational strategy as needed.
  • Participate in Operations leadership, the H&S/Risk Committee and other key meetings.
  • Provide leadership and direction to RFMs and onsite maintenance teams, developing and enhancing processes (including PPM and reactive maintenance) and systems to support them.
  • Oversee the implementation of the Company's operating policies.
  • Foster a culture of high performance and continuous improvement.
  • Empower and mentor teams, including advising on professional development.
  • Work with Talent Development to ensure optimal career and learning architectures are in place for maintenance teams.
  • Work closely with the Senior Director Risk Management and H&S to direct comprehensive risk management strategies.
  • Ensure all organisational risks are effectively mitigated.
  • Assume ultimate responsibility for the establishment and leadership of comprehensive safety works and programmes.
  • Champion the integration of compliance into the organisational culture, utilising advanced FM systems (and ensuring optimal use) and data resources to embed best practices.
  • Identify and implement strategic initiatives to enhance NOI, asset value and return on investment, including utilities management and energy efficiency programmes. In doing so, work collaboratively with Asset Management, Capital Projects and Sustainability teams to support Greystar's path to Net Zero.
  • Develop robust asset and component data collection processes.
  • Direct and enhance inspection protocols to ensure that physical assets maintain the highest standards of repair and functionality.
  • Lead collaborations with key stakeholders, such as Capital Project teams, to strategically manage DM and other capital works.
  • Work with Development & Investment to onboard new properties.
  • Control budgets and spend related to relevant DM and Fire Safety works, as agreed during business planning.
  • Support Operations leaders and property maintenance teams in managing Repairs and Maintenance (R&M) and Contract Services budgets.
  • Prioritise capital works and investments, ensuring alignment with strategic financial goals.

Knowledge & Qualifications:

  • A surveying or building diploma and/or considerable experience in a senior management or director role, complemented by technical qualifications relevant to managing FM in a residential property setting.
  • A project management qualification is desirable but not essential.
  • An understanding of UK H&S laws and statutory regulations relating to buildings management including interactions with Local Authority representatives.
  • Health and Safety qualification NEBOSH Certificate or equivalent.
  • Good level of general education educated to 'A'/HND Level as a minimum or equivalent with demonstrable written and numerical skills.
  • Strong proficiency in the use of Microsoft Office packages including Word, Excel and Outlook.
