General Mission
The HR Assistant handles the day-to-day management of administrative and operational HR tasks, contributing to the implementation of the company's HR policies. In collaboration with HRBPs, the HR Assistant manages tasks related to personnel administration, office management, and employee support on HR-related matters.
Personnel Administration
- Employee Administration: Assist in preparing contracts (permanent, fixed-term, apprenticeship, internship), managing administrative formalities (occupational health, health insurance, etc.).
- Updating Individual Employee Records: Maintain and archive personnel data in compliance with confidentiality and data security policies.
Recruitment and Onboarding
- Recruitment: Participate in the recruitment process for interns and apprentices, screen candidates, and schedule interviews.
- Onboarding: Participate in the new employee onboarding.
Training and Development
- Training Plan Follow-Up: Collect training needs, manage logistics, follow up on enrollments, and organize training sessions.
- Skills Updates: Track required certifications and qualifications aligned with employee roles.
Office and Facilities Management
- Safety and Comfort: Ensure proper functioning of installations and compliance with safety standards in collaboration with the office manager.
- Manage Relations with Providers and Employees for:
Business Travel: Travel policy, travel agency, online tools, invoicing, and employee use.Company Vehicles: Daily management and fleet policy in partnership with local leasing companies, ensuring compliance with statutory and payroll requirements.Insurance: Travel, parking, social responsibility, company vehicles, and accommodation.Expat Accommodation in France: Housing search, utility setup, agency/landlord relations, occupancy management, in compliance with legal and payroll requirements.French Landline and Mobile Phone Fleet.Collaboration with the Receptionist for France office tasks.
Health, Safety, and Working Conditions
- Occupational Safety Documentation: Establish, update, and track prevention actions in the Accident Register.
- Medical Visits: Coordinate with occupational health services for regular and specific medical exams.
Skills and Qualifications Required
Technical Skills
- Knowledge of employment legislation and HR practices.
- Proficiency with IT and HR software.
- Ability to manage personal data confidentially.
Personal Qualities
- Strong interpersonal skills and service-oriented mindset.
- Organizational skills, attention to detail, and independence.
- Ability to work collaboratively and adapt in a dynamic environment.
Profile
- Education: Bac+2/3 in Human Resource Management, Employment Law, or Administration.
- Experience: 1 to 3 years in a similar role, ideally in a multi-site or international environment.
- Languages: Fluent in French, Chinese, and English (professional level preferred).
